Implementation and migration

Implementing Business Central in a controlled manner, with no impact on ongoing operations.

A project with clear stages, defined roles and data verified before go-live. You know in advance what comes next, who is responsible and what needs preparing.

Project stages

Seven stages with verifiable outcomes

Each stage ends with an outcome that you review and accept before we move on.

  1. Process analysis

We look at the company's current processes, figure out the priorities, and define the scope of the implementation project.

    What we do
Interviews with process managers, documenting current and future workflows, identifying necessary integrations, and defining the data that will be migrated to the new system.
    What your company does
Appoint a project manager and key users, giving them access to the documents, processes, and data needed to carry out the implementation.
    Outcome
Analysis document validated, implementation plan approved, and budget confirmed.
  2. Setting up the system according to business requirements

We set up Business Central according to the company's processes: chart of accounts, business documents, warehouses, operational workflows, and user access rights.

    What we do
Setting up the company, the chart of accounts, the catalogs, documents, roles, and access rights, as well as implementing the approved customizations and developments within the project.
    What your company does
Validate the configurations as they are completed and get involved in the decisions needed to define business processes.
    Outcome
System set up in the testing environment and ready for validating the agreed processes and functionalities.
  3. Preliminary data migration in the testing environment

We move data into a test environment and check that it is correct.

    What we do
Data cleansing and mapping, test migration of master data and balances, and reconciliation with the existing system to validate data accuracy.
    What your company does
Prepares source data and confirms reconciliation results.
    Outcome
Verified data and a documented migration procedure.
  4. Testing

Key users test and validate real work scenarios, from orders and daily operations to reports and management indicators.

    What we do
Test scenarios, tweaking settings, and validating integrations to make sure the system works fully before launch.
    What your company does
Key users test business scenarios, validate the results, and point out any differences or adjustments needed.
    Outcome
Acceptance test report, confirming that the validated processes, configurations, and integrations meet the project requirements.
  5. Training

We train every employee for the tasks of their role.

    What we do
    Role-based sessions, step-by-step instructions.
    What your company does
Makes sure employees join the sessions.
    Outcome
Users trained and ready for daily work in the new ERP system.
  6. Go-live

The final data migration and the launch of Business Central in production, with the transfer of daily operations to the new ERP system.

    What we do
The final data migration, checking opening balances, and operational support during the first days of using Business Central.
    What your company does
Stop entering new operations into the old system on the agreed launch date and move the current activity to Business Central.
    Outcome
The company operates in Business Central, with integrated processes, up-to-date data, and full visibility over its activity.
  7. Optimization and operational support

We stay with users after the launch and keep developing the system as the business grows.

    What we do
We provide intensified support in the first few weeks after launch, followed by ongoing assistance and further developments according to the service contract.
    What your company does
Send requests through the agreed support channel, for efficient tracking of incidents, requirements, and further developments.
    Outcome
Stabilized system, used in current activities, and a clear plan for optimization and development for the next steps.

Who does what in the project

Implementation succeeds when both sides know their responsibilities.

The clouddynamics team

  • Project manager — plan, timeline, risks, communication
  • Functional consultants — finance, sales, purchasing, warehouse
  • Developer — integrations, extensions, data migration
  • Trainer — role-based training and materials

Your company

  • A project owner with decision-making authority
  • Key users from each department
  • Preparing and validating data
  • Taking part in testing and training
Data migration

Data is verified before go-live, not after

Data is the foundation of the new system, so we prepare it, run trial migrations and reconcile it with your current system.

What we migrate

  • Master data: customers, vendors, items, accounts
  • Opening balances: inventory, receivables, payables, bank accounts
  • Open documents: orders, unpaid invoices
  • History — if needed, or as a read-only archive

How we verify

  1. Remove duplicates and outdated records
  2. Map fields between systems
  3. Run one or more trial migrations
  4. Reconcile balances with the current system
  5. Final migration — only after your approval

How we go live without stopping the business

The right date

Go-live is usually planned for the start of a month or an accounting period.

Go-live plan

An hour-by-hour checklist: what stops, what is transferred and who confirms each step.

Fallback plan

We agree in advance what to do if a critical issue appears during verification.

Hypercare

In the first weeks after go-live, consultants answer user questions with priority.

Budget

Budget structure

We do not hide the calculation behind “individual pricing”. This is what a project budget consists of:

  1. 1

    Microsoft licences

A monthly subscription per user: Essentials, Premium, or Team Members for limited access.

  2. 2

    Implementation

Analysis, configuration and process adaptation, project management.

  3. 3

    Data migration

Preparing, transferring and verifying data from your current systems.

  4. 4

    Training

Role-based sessions, materials and key-user training.

  5. 5

    Additional solutions

Integrations, extensions and customisations, if required.

  6. 6

    Support

A monthly support package after go-live.

What drives the cost

  • number of users
  • current software
  • data quality
  • number of warehouses
  • number of legal entities
  • integrations
  • required customisations

Two projects with the same number of users can differ significantly in budget — because of data, integrations and processes.

Estimate the cost for your company

Frequently asked questions

How much will it cost in the end?

The budget depends on concrete factors: the number of users, the software you use today, data quality, the number of warehouses and legal entities, integrations and required customisations. We show you the full cost structure — licences, implementation, migration, training, additional solutions and support — before any contract is signed.

Will our business have to stop?

We never switch systems overnight. First we migrate test data, verify the results with your key users and train the team — only then do we set the go-live date, usually at the start of an accounting period. We commit to specific timelines after a preliminary analysis, rather than promising everyone the same two-week launch.
